1. Introduction and Acceptance
1.1 About These Terms
These Terms and Conditions ("Terms") govern your use of the ShowGuideSystems.ie website and services (collectively, the "Services"). By accessing or using our Services, you agree to be bound by these Terms.
1.2 Who We Are
ShowGuideSystems.ie is owned and operated by ShowGuide Systems, a company registered in Ireland with registered number 350629, having its registered office at 12 Saint Joseph's Villas, Athboy, Co. Meath, C15 VW67 ("we", "us", "our", or "ShowGuideSystem").

1.3 Changes to These Terms
We may update these Terms from time to time. We will notify you of significant changes by email (to your registered email address) or by posting a notice on our website at least 30 days before changes take effect. Your continued use of our Services after changes become effective constitutes acceptance of the revised Terms.
2. Services Provided
2.1 Description of Services
ShowGuide Systems provides online entry and management services for FCI-recognised dog shows in Ireland, including:
- Online show entry processing
- Entry fee payment processing
- Digital catalogue services
- Results publication
- Database management for exhibitors and dogs
2.2 Service Availability
We aim to provide continuous service availability, but do not guarantee uninterrupted access. We may suspend or modify Services for maintenance, updates, or emergency repairs with reasonable notice where possible.
2.3 Third-Party Services
We act as an intermediary between exhibitors and show organisers. While we process entries, final acceptance and show management remain the responsibility of the respective show organising bodies.
3. User Accounts and Registration
3.1 Account Creation
To use our Services, you must:
- Be at least 18 years of age
- Provide accurate, current, and complete information
- Maintain and update your information to keep it accurate
- Keep your password secure and confidential
- Notify us immediately of any unauthorised use of your account
3.2 Account Responsibility
You are responsible for all activities conducted through your account. You agree to:
- Not share your account credentials with others
- Not create multiple accounts for the same individual
- Not use another person's account without permission
- Notify us immediately of any security breach
3.3 Account Suspension or Termination
We reserve the right to suspend or terminate accounts that:
- Violate these Terms
- Engage in fraudulent activity
- Provide false or misleading information
- Remain inactive for more than 24 months (after 30 days' notice)
4. Dog Show Entries
4.1 Entry Submission
When submitting a show entry, you confirm that:
- All information provided about the dog(s) and owner(s) is accurate and complete
- The dog(s) meet all eligibility requirements for the selected classes
- You have authority to enter the dog(s) in the show
- You accept the rules and regulations of the show organising body
4.2 Entry Deadlines
Entry deadlines are set by individual show organisers and are clearly displayed on each show's page. We are not responsible for late entries resulting from:
- Technical difficulties on your part
- Delays in payment processing
- Last-minute submissions that fail due to system capacity
4.3 Entry Confirmation
Upon successful entry submission and payment confirmation, you will receive:
- Email confirmation to your registered email address
- Invoice/receipt for payment
- Entry details, including assigned entry numbers (when available)
4.4 Entry Modifications
4.4.1 Class Changes
You may request class changes by contacting us at support@showguidesystems.ie with your invoice number. Class changes are subject to availability, a modification fee of €5.00 (at our discretion), submission before the show's final deadline, and approval by the show organising body.
4.4.2 Dog Substitution
Dog substitutions are subject to the individual show's policy. Requests must be made in writing to both ShowGuide Systems and the show secretary.

5. Payment Terms
5.1 Pricing
All prices are displayed in Euros (€). ShowGuide Systems is not currently VAT-registered and therefore VAT is not charged. Entry fees comprise: show organising body fees, ShowGuide Systems service fee, and any applicable processing fees.
5.2 Payment Methods
We accept payment through our authorised payment service providers:
- Stripe using Credit/Debit Cards (Visa, Mastercard)
5.3 Payment Processing
Payments are processed securely by our PCI-DSS-compliant payment service providers (e.g., Stripe). We do not store, access, or process your full payment card details on our servers, and we do not offer a feature to save payment details for future use.
5.4 Payment Authorisation
When you submit an entry, you authorise us to:
- Charge the total amount displayed at checkout
- Process the payment through our payment service provider
- Transfer funds to the relevant show organising body (minus our service fee)
5.5 Failed Payments
If your payment fails or is reversed (chargeback):
- Your entry may be cancelled
- You will be notified immediately via email
- You may be required to submit payment by alternative means
- Your details may be shared with the Irish Kennel Club in cases of disputed payments
- You may be restricted from future entries until the matter is resolved
6. Service Fees
6.1 Non-Refundable Service Fee
Our service fee is clearly indicated at checkout and is non-refundable except:
- Where we cancel your entry due to our error
- Where required by law
6.2 Administration Fees
Additional fees may apply for:

7. Refund and Cancellation Policy
7.1 Role of ShowGuide Systems and Show Organisers
ShowGuide Systems provides an online entry and administration service. The show organiser is responsible for the dog show and for determining refund eligibility for show fees. Unless expressly stated otherwise, refund decisions for show fees are made by the relevant show organiser, not by ShowGuide Systems.
7.2 Service Fee (Non-Refundable)
Our service fee is clearly indicated at checkout and is not refundable once we have performed the entry processing service, except where:
- We cancel your entry due to our error
- A refund is required by applicable law
7.3 Right of Withdrawal (Consumers)
Under the EU Consumer Rights Directive and Irish S.I. No. 484/2013, consumers may have a right to withdraw within 14 days. However, this right does not apply once the entry processing service has been fully performed with your prior express request/consent.
7.4 Time-Sensitive Services and Withdrawal Exception
By submitting an entry, you request that we begin processing your entry immediately. You acknowledge that entry processing is time-sensitive and may be completed and transferred to the show organiser shortly after submission. Where the entry processing service has been fully performed, you may lose any applicable right of withdrawal.
7.5 Refunds of Show Fees (Organiser Policy)
Show fees are refundable only in accordance with the relevant show organiser's published policy (including any applicable deadlines, documentation requirements and administration fees).
7.6 How to Request a Refund of Show Fees
Refund requests relating to show fees must be made directly to the show organiser/show secretary unless a show page specifies an alternative process.
7.7 Show Cancellation, Rejection, or Event Changes
If a show is cancelled, postponed, or your entry is rejected, show fee refunds (if any) are governed by the organiser's policy. Our service fee remains non-refundable once the entry processing service has been performed, except where required by law or where we have made an error.
8. Data Protection and Privacy
ShowGuide Systems processes personal data in accordance with GDPR (EU) 2016/679 and Irish Data Protection Act 2018. We collect account information, dog information, and technical data necessary to provide our Services.

9. Intellectual Property Rights
All website content, software, and materials are protected by Irish and international IP laws. You receive a limited license for personal, non-commercial use only.
Prohibited Activities:
- Copying or redistribution of content
- Commercial use without permission
- Automated scraping or data collection
- Reverse engineering
- AI training use
10. Acceptable Use Policy
You must not:
- Provide false information
- Impersonate others
- Transmit malware
- Attempt unauthorised access
- Interfere with Services
- Violate FCI or Kennel Club rules
- Engage in any unlawful activity
Violations may result in entry cancellation, account termination, and legal action.
11. Liability and Disclaimers
Consumer Statutory Rights Protected
Nothing excludes our liability for death/injury from negligence, fraud, or liabilities that cannot be excluded under Irish/EU law. Your statutory rights under Sale of Goods and Supply of Services Act 1980 and EU Consumer Rights Directive remain unaffected.
Limitations
To the maximum extent permitted by law, our total liability is limited to the amount paid for the specific entry or €100 (whichever is greater). We are not liable for:
- Show organiser actions
- Show cancellations or changes
- Indirect or consequential losses
- Force majeure events
12. Indemnification
You agree to indemnify ShowGuide Systems from claims arising from:
- Your breach of Terms
- Violation of laws
- Violation of third-party rights
- False information provided
- Your conduct at shows
- Your negligence or misconduct
13. Dispute Resolution
13.1 Informal Resolution
Before formal proceedings, contact us at support@showguidesystems.ie or +353 (0)46 9432027. We respond within 5 business days and aim to resolve complaints within 30 days.
13.2 Alternative Dispute Resolution
For unresolved consumer disputes, you may use the EU Online Dispute Resolution platform or approved ADR schemes.
13.3 Governing Law and Jurisdiction
Irish Law Applies.
- Consumer Contracts: EU consumers may bring proceedings in Ireland or country of residence. We may only sue you in your country of residence. Your statutory rights are unaffected.
- Business Contracts: Exclusive jurisdiction of Irish courts.
14. Miscellaneous Provisions
- Entire Agreement: These Terms with Privacy Policy constitute the entire agreement
- No Waiver: Failure to enforce does not waive rights
- Assignment: You cannot assign; we may assign freely
- Notices: Sent to registered email; deemed received immediately or next business day
- Severability: Invalid provisions limited/eliminated; others remain
